School Calendars in Maestro Calculations

School Calendars in Maestro Calculations

When we customized the calculation of Section Days to exclude holidays, Jose explained that when entering holidays on the calendar, each event day needs to be added individually and not in a consecutive way.  For example, if you are adding 9 days for the Christmas Break you should not enter it as one event that repeats daily till an end date - See image below. If done in this manner, the system will create only one event on the database (which is where the section days are calculated). Even though it will show 9 days on the calendar, it will not create multiple event days on the database.

So, in the case of SCOESC DA they only have 7 physical holidays events on the database, however on the UI (calendar) it shows 19.

To correct this, first you will need to add the consecutive holidays individually to the Calendars. Any student (organization) that has holidays created in sequence will have the same issue with the end date. To correct the calendars, you will need to do the following:

  1. Go back to anywhere you have consecutive Holidays on the calendar(s).
  2. Delete all consecutive events.
  3. Re-enter those consecutive holiday events one by one or in bulk. To do so in bulk you can download a Schedule Bulk Import Template from Administration>Tools>Bulk Import - see image below.
If you know of any other enrollments that might have the wrong enrollment end date, I can ask a developer to clean up the data on the database so that the enrollment end dates are be correct.

Please let me know if you have any questions and if you need help with the calendar corrections.

Thanks for the update. The date the mentor changed the date to is their actual last day so that is ok. Thanks for pointing it out though. Also, the school calendar is still being worked on?

Hi Rochelle,

Dean restored the setting so that Mentors can not extend an enrollment, however the mentor changed the end date during the time it was changed by Dean - please see the audit information in the screenshot below.

I have created an internal work item to look into calculation of the Section Days which should follow these rules:
  • End Date gets calculated based on the Start Date + Section days
  • Section Days – will indicate the amount of school days - not calendar days. When creating an enrollment, calculate the end date excluding holidays and weekends, based on Student’s school calendar (hierarchically).

I will update you once I have a solution.

Best regards,
